Privacy Policy

1. Introduction
Avenir AI is operated by Avenir Ventures LLC, a property management automation service based in Phoenix, AZ. This policy explains what data we collect when you use our website, our dashboard, or interact with our AI leasing assistant (“Alex”), and how we use it. Avenir AI serves United States customers only.
2. Information we collect
Consistent with the categories defined under the California Consumer Privacy Act (CCPA), we collect or receive the following categories of personal information:
- Identifiers — name, email address, phone number, company name, postal address, and account credentials.
- Commercial information — portfolio size, properties under management, plan tier, billing details.
- Internet or network activity — pages visited, features used, referrer, approximate device and browser information.
- Audio, voice, and electronic information — call recordings and transcripts when you or your tenants interact with Alex by phone, plus chat and email content routed through the service.
- Geolocation — coarse geolocation derived from IP address; we do not collect precise device location.
- Inferences — lead-quality scores, prospect intent tags, and similar derived signals generated by Alex during a conversation.
Most of this information is provided directly by you (or by your tenants and prospects when communicating through the service). Some is generated automatically as a normal byproduct of operating the service. We do not knowingly collect Social Security numbers, driver's license numbers, financial account numbers, or biometric data.
3. How we use it
- To respond to inquiries, schedule demos, and operate the service for our customers.
- To answer leads, route work orders, send tenant communications, and otherwise perform the AI tasks our customers configure.
- To improve Alex's responses and the overall product, using aggregated, de-identified information where possible.
- To comply with applicable law and to prevent abuse, spam, and fraudulent submissions.
4. AI disclosure
Alex is an AI leasing assistant. All calls and chats are handled by AI and may be recorded for quality and training. Alex identifies itself as an AI when asked directly.
5. Data sharing
We do not sell personal data. We use the following categories of subprocessors to operate the service, each under their own data processing terms:
- Cloud hosting and edge delivery providers
- Database and authentication providers
- Voice and telephony infrastructure providers
- AI model providers
No mobile information will be shared with third parties/affiliates for marketing or promotional purposes. Information sharing with subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
6. Email inbox access (optional)
As an optional feature, you may connect your Gmail or Outlook inbox to Avenir AI so that Alex can read inbound lead and tenant emails, draft replies, and act on items you ask it to handle. This feature uses your provider's OAuth consent flow with the narrowest scope needed to operate it; we do not use your password.
- Connecting an inbox is entirely optional and not required to use the service.
- Email content is processed only to identify and respond to property-related communications. We do not use it to train shared AI models, and we do not share email content with third parties for marketing.
- You can revoke access at any time from the Avenir dashboard or from your email provider's security settings. Once revoked, we will stop accessing your inbox.
7. Automated decision-making
Alex makes automated determinations during conversations — for example, scoring lead quality, classifying maintenance urgency, or deciding whether to escalate an issue to a human. These determinations are operational and are always reviewable: every conversation is logged in your dashboard, and any tenant or prospect can request a human at any time. Significant decisions about leasing, pricing, eviction, denial, or other consequential outcomes remain with you and your team. We do not use automated decision-making to evaluate or deny housing in a way that would violate applicable fair-housing laws.
8. Your California privacy rights
If you are a California resident, you have the following rights under the CCPA/CPRA:
- Right to know what personal information we have collected about you and how we use it.
- Right to delete personal information we hold about you, subject to limited exceptions.
- Right to correct inaccurate personal information.
- Right to opt out of sale or sharing. Avenir does not sell personal information and does not share it for cross-context behavioral advertising. There is nothing here for you to opt out of, but you may confirm this status with us.
- Right to limit use of sensitive personal information. We do not use sensitive personal information for purposes outside of operating the service.
- Right to non-discrimination. We will not deny service, charge different prices, or provide a different level of service because you exercised any of these rights.
To exercise any of these rights, email hello@avenirpm.ai. We will verify your request and respond within 45 days, with one permitted 45-day extension if needed. You may also designate an authorized agent to make a request on your behalf.
9. Controller / processor roles
For visitors to our website, leads who contact us, and prospective customers, Avenir Ventures LLC acts as the data controller. For tenant and prospect data flowing through the service on behalf of one of our property-management customers, Avenir acts as a data processor and the customer is the controller. Enterprise customers may sign a Data Processing Agreement (DPA) with us — email hello@avenirpm.ai to request one.
10. Children's privacy
Avenir AI is built for property management professionals and is not directed to children under 13. We do not knowingly collect personal information from anyone under 13. If we become aware that a child under 13 has provided personal information to us, we will delete it promptly. If you believe a child has submitted information, contact hello@avenirpm.ai.
11. Data retention
- Contact form submissions: retained for 24 months.
- Voice call recordings: retained for 90 days.
- Customer account data: retained while the account is active and for 60 days after termination, after which it is deleted from active systems.
12. Data location
Avenir AI is hosted in the United States. Our subprocessors may process data in other regions to operate global infrastructure (e.g., edge delivery). When that happens, we rely on commercially reasonable safeguards and the subprocessor's own data processing terms.
13. Fair Housing
Avenir AI does not collect or use protected class information (race, color, religion, sex, familial status, national origin, or disability) as inputs to lead qualification. Alex is trained to apply the same qualifying criteria to every prospect, in accordance with HUD fair-housing guidelines.
14. Security
Data is encrypted in transit (TLS) and at rest. Database access is scoped with row-level security so that each customer only sees their own data. Access to raw service logs is limited to authorized personnel.
15. Changes
We may update this policy from time to time. When we do, we will update the effective date at the top of this page. Material changes will be communicated to active customers by email.
